Less Chasing, More Selling: Rethinking the Estate Agency Workflow

There’s always something that needs chasing in estate agency.

A buyer hasn’t responded, a seller wants an update, you need to confirm a viewing and somebody needs to follow up on that lead you received yesterday. None of these things are hard, but when they start to stack up they can easily fill an agent’s day.

The problem comes when chasing starts becoming part of your workflow rather than the odd time sink. Information is scattered across inboxes, spreadsheets, and different platforms, so agents must remember what’s happened, check what someone else has entered, and manually trigger the next step.

Those few minutes here and there can build up to hours of admin that could have been spent progressing deals and talking to clients.

So, what would estate agency workflow look like if you didn’t have to manually chase so much work?

Whether it’s using technology to track leads and automate routine follow-ups or connecting information around your agency, there are plenty of ways you can streamline processes.

Here’s how a connected workflow gives you less to chase and more time to sell.

Where Does the Estate Agency Workflow Start to Break Down?

A busy estate agency can easily become consumed by admin tasks to keep transactions progressing. Leads, client data, property information and follow-up activity all come together when you use estate agent software. That means you have a better overview of each transaction and what still needs to be done.

Without centralised software, information can quickly become fragmented between your inbox, spreadsheets and various platforms. You might have to look in your email to see the latest reply, open a spreadsheet to find a client’s phone number and then remember to record somewhere that you need to follow up again. Each task in itself isn’t time-consuming, but they can soon add up.

The issue is amplified when your agency is dealing with a high volume of enquiries and instructions. Your time is spent chasing replies, updating spreadsheets and double-checking someone else hasn’t already followed up. When you don’t dedicate time to meaningful chats with buyers, sellers, and landlords, you could inadvertently lose the momentum of their interest.

How Can a Real Estate CRM Keep Opportunities Moving?

A lead tends to lose momentum quickly when nobody knows what’s already happened with that lead or what still needs to occur. A CRM provides agents with a documented history for every lead or client. This allows agents to quickly understand where that lead is in the process and continue the conversation without digging through multiple sources for that information.

Automated reminders and scheduled follow-ups can relieve stress for agents, especially when juggling multiple conversations. Rather than relying on memory or manually searching for leads who require follow-up, agents can have reminders and tasks seamlessly integrated into their process. Not only does this allow for more transparency throughout their pipeline, but it also cuts down on time spent researching what’s next for each lead.

On top of that, your CRM shouldn’t add more admin tasks to your agents’ plate. It should enhance your current workflow by making relevant information readily available and automating your team’s routine tasks. When implemented correctly, your agents can focus more time and attention on moving opportunities forward instead of tracking the process.

What Happens When Your Property Data Is Connected?

By connecting property data between the systems an agency uses, information no longer has to be siloed in one application. Instead of copying details from database to spreadsheet to reporting tool and back again, teams can operate from data that’s easier to access and update.

This helps eliminate duplicate data entry and means agents have access to the most complete and up-to-date information. If a change is made in one aspect of the workflow, it can be applied where needed so teams can avoid double handling or using outdated records. Having one version of the truth also allows colleagues to pick up on a task or conversation without needing to piece together what’s happened via disjointed notes and emails.

Connected data does, however, bring data access and security into focus. Agencies will need to consider who can see information, where it is stored and how it can be shared between systems. Built with those factors in mind, connected data can allow for smoother handovers, increased collaboration and a more uniform workflow without losing control of sensitive data.

Which Parts of the Estate Agency Workflow Can Be Automated?

Automation isn’t needed everywhere in the estate agency process. When predictable steps are involved, like following up on leads, sending reminders for viewings and appointments, or handling routine messages and task alerts, automation can keep things moving forward without agents needing to recall or verify the next action.

Future automation trends will likely extend these capabilities further, but effective automation isn’t about removing people from the process. It can remind an agent to follow up with a buyer lead, but it can’t make the call itself. It can automate routine communications, but agents will still need to handle interactions that require context, judgement and a human response. Put simply, the best automation works around the relationship, not between agent and client.

How Can Better Workflows Improve the Client Experience?

An improved internal workflow can impact how clients are serviced too. Agents can reply to enquiries faster and maintain momentum throughout conversations when they have easy access to information and automated systems are taking care of tasks behind the scenes, rather than needing to stop and figure out what was overlooked.

Clients can also sense when things aren’t working as smoothly for your team as they could be. They may not know about your internal software, databases or organisational processes, but they will notice when replies are left unanswered, reports are late, or information isn’t handed between conversations. Streamlining your workflow gives you less chance of missing details and allows clients to feel more confident in your service.

Of course, the people aspect of real estate will always be the most important part. Closing a deal, addressing a seller’s concerns or guiding buyers through the process aren’t tasks that can (or should) be automated. When you improve your team’s workflow, you give agents a better chance to focus on human interactions, rather than having their attention pulled away.

Is Your Agency Spending Too Much Time Chasing?

You might not always realise when your agency’s process is creating admin overhead. You could easily write off agents having to cross-reference multiple systems for updates, setting manual reminders to chase leads or interrupting colleagues for information as part of the job. But when you stop to consider these micro tasks, what can they reveal about your process?

Taken individually these moments may only take a couple of minutes. But considering dozens of leads, multiple properties and client conversations throughout the day, they soon become significant. Every time an agent spends time searching for information, manually duplicating updates or checking if someone else has completed a task, it’s another moment they’re not doing something else worthwhile, like moving deals forward and talking to clients.

The solution isn’t always to solve each point of frustration as you identify it. Agencies should take a step back and assess the process from start to finish. Consider where information is input into the system, how it flows between teams and where manual intervention is truly necessary. With this top-down approach, you can spot opportunities to streamline the process rather than throwing more tools at each frustratingly manual task.

How Can Estate Agencies Build a More Efficient Workflow?

The first step in improving workflow is identifying how work actually travels through the agency. By mapping out the process right from the initial enquiry through follow-up, viewing, negotiation and completion, agencies can see where information is being duplicated, where tasks are being delayed and where agents are wasting time on manual tasks that don’t need to be done.

Agencies can then look to reduce repetitive tasks that could be automated or simplified, as well as centralising commonly accessed information. While technology can help with this, it shouldn’t cut agencies off from the systems they’re already using. Look for tools that integrate smoothly in order to allow information to flow through without manual handling at every step.

As automation becomes essential to more efficient business processes, agencies also need to treat workflow improvement as an ongoing process. Something that works well for a team of five might not work for fifteen, and incorporating new technology could open up the possibility to automate once again. By regularly evaluating the way people, process and technology work together, agencies can maintain an efficient workflow that adapts to their needs.

Less Chasing Means More Time for What Matters

A streamlined estate agency workflow shouldn’t take away the relationships that are the lifeblood of your business. Instead, it should automate the admin that surrounds those relationships, freeing up your time to sell, negotiate and spend time with clients.

Technology allows you to stop chasing and start having conversations that matter.
